These Terms & Conditions outline the basis on which Dr Johanna Ward / W1 Skin Clinic (“we”, “our”, “the Clinic”) provides services to our clients (“you”, “patients”, “clients”). By booking an appointment, attending the Clinic, or using our website, you agree to be bound by these Terms & Conditions.


1. Consultations & Treatment Suitability

  • All new patients must attend an initial consultation before treatment can be carried out.

  • During consultation, our practitioners will assess suitability and expected outcomes. If a treatment is deemed unsuitable, we reserve the right to decline treatment.

  • Please note that treatment results vary from person to person and cannot be guaranteed, and no refunds are available on treatments.


2. Clinical Photography

  • For medical, monitoring, and safety purposes, we require photographs to be taken before and after treatment.

  • These images form part of your medical record and are kept confidential.

  • If you decline photography, we may be unable to proceed with treatment.


3. Appointments, Deposits & Payments

  • A deposit is required to secure all treatment bookings. The deposit amount will be confirmed at the time of booking and will be deducted from the total treatment cost.

  • Remaining balances are payable on the day of treatment.

  • Prices listed on our website or marketing materials are intended as a guide and may be subject to change. The price confirmed at consultation will be binding.


4. Cancellation & Rescheduling Policy

  • We require a minimum of 72 hours’ (3 days) notice to cancel or reschedule an appointment.

  • Cancellations or reschedules with less than 72 hours’ notice are non-refundable, and your deposit will be forfeited.

  • If you arrive late, your treatment time may be reduced, or the appointment may need to be rescheduled. In this case, our cancellation policy still applies.

  • All monies paid are strictly non-refundable and must be used within 12 months of purchase.


5. Packages & Courses of Treatment

  • All treatment packages or courses must be paid in full at the time of booking.

  • Packages are non-refundable and non-transferable.

  • All treatments within a package must be redeemed within 12 months of purchase. Treatments not used within this period will be forfeited.

  • Packages cannot be converted into credit or exchanged for alternative treatments.


6. Refunds & Products

  • Individual treatments, treatment packages, and consultations are non-refundable once purchased.

  • Medical skincare and consumable products cannot be refunded or exchanged due to hygiene regulations.


7. Risks & Complications

  • All treatments carry risks of side effects or complications. 

  • By proceeding with treatment, you accept these risks and agree to follow all pre- and post-treatment advice provided by your practitioner.

  • All clients are required to complete and sign a legally binding consent form prior to any treatment; without this, treatment cannot be carried out.

8. Confidentiality & Data Protection

  • Dr Johanna Ward / W1 Skin Clinic complies with all relevant UK Data Protection laws.

  • Your medical records, photographs, and personal details are treated with strict confidentiality and will not be shared with third parties without your consent, unless legally required.


9. Liability

  • It is your responsibility to provide complete and accurate medical history prior to treatment.

  • Dr Johanna Ward / W1 Skin Clinic cannot be held liable for adverse outcomes where relevant information has been withheld or instructions have not been followed.

  • We are not responsible for indirect or financial losses that may result from treatment.


10. Complaints Policy

  • We aim to provide the highest standards of care. If you are dissatisfied, please contact the Clinic Manager in writing.

  • Complaints will be acknowledged within 5 working days, and we will aim to resolve all issues promptly and fairly.


11. Neogen Treatment Requirements

  • The skin must be free from any tan, whether natural or fake, prior to treatment.

  • Neogen treatments can only be carried out a minimum of 4 weeks after sun exposure.

  • Patients with melasma or hyperpigmentation must use a prescribed melanocyte suppression cream for at least 4 weeks before treatment (please contact the Clinic for more information and to obtain your prescription).

  • The use of all active skincare products (including exfoliating acids and retinols) must be stopped at least 5 days prior to treatment.


12. Governing Law

  • These Terms & Conditions are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the English courts.
